Follow up after an interview
Use this page to preserve useful details, complete promised follow-through safely, and send only the appropriate email after the conversation.
Record the conversation immediately afterward
Immediately afterward, write down as much of the conversation as you can recall. Do not attempt a live transcript during the interview. Record:
- the questions and answers;
- participants and their roles;
- role, team, and working arrangement details;
- concerns and points that need verification;
- promised material and other commitments;
- next steps and expected timing;
- what went well;
- what was unclear; and
- what to improve.
Separate confirmed facts, your impressions, and remaining unknowns. These notes can support a later round in the same process or preparation for another interview without treating a live hiring conversation as a practice exercise.
Send promised material safely
If you promised a document or link, send it through the expected channel. Verify that the attachment or link works and that it exposes no confidential information from another organization. Mentioning promised material in a thank-you is fine; do not turn it into an unsolicited second pitch.
Send a brief thank-you when useful
A brief personalized thank-you is recommended, preferably within 24 hours. It is not mandatory, a later message is not automatically a failure, and the note cannot guarantee any effect on the hiring decision.
Keep it specific, proofread it, and follow the communication style already established. Personalize the recipient and context, but do not assume every participant requires a separate note.

Thank you for the conversation about the [role] position. I appreciated learning about [specific real detail]. As agreed, I have [attached or linked promised material].
Best,
[your name]
Check status once after the stated window
Send one concise status check after the employer's stated response window passes. Do not add a universal two-or-three-business-day delay.
Hi [name]. I am following up on our [role] conversation from [date]. Could you share whether the process or expected timing has changed? I remain interested and am happy to provide any missing information.
This is the only status instruction the guide adds after a missed window; do not infer an explanation from the delay.
